PINEWOOD DERBY VOLUNTEER EVENT DAY GUIDE
This page is your complete guide to how race day actually runs at Pack 972's Pinewood Derby. Whether you're a returning volunteer or stepping into a role for the first time, read this top to bottom before race day. The more every volunteer understands the whole picture, the smoother the event runs โ and the more fun it is for every Scout and family.

๐บ The Big Picture
Pack 972's Pinewood Derby runs in two stages:
๐ Stage 1 โ Qualifying Heats: Every car races three preliminary heats against different competitors, rotating through all three lanes of the track. Results are tallied and a bracket is built.
๐ Stage 2 โ Championship Bracket: The top cars advance into a head-to-head single-elimination tournament bracket until one car is crowned Pack Champion.
Running alongside the racing is a design award voting process, managed separately by the Voting Tabulator. All awards โ speed and design โ are announced together at the ceremony at the end of the event.

Before You Arrive
๐ฆ The official Pack scale and race supplies live in the Pinewood Derby bin. The bin is stored either in Room 12 at Peace Lutheran Church or in the Cubmaster's closet. The Cubmaster will confirm location before race day.

๐ Pizza is ordered to arrive approximately when qualifying heats wrap up at 4:30 โ right as the Bracket Master is building the championship bracket. This gives everyone a natural break between stages.
๐งฐ Troop 71 Scouts will be on hand to assist at the finish line area. Scoutmaster Jason will confirm how many scouts are available. Expect 2โ4 Troop 71 helpers.
๐จ Setup
All volunteers should arrive 30 minutes before doors open. Here's what needs to be set up before families arrive:
๐ Track โ set up and tested, rope barrier in place on both sides to keep spectators a safe distance from the track
๐ฝ Registration table โ registration sheet, car number post-it notes, 1x3 plywood lineup strip, scale and backup scale
๐ณ Voting station โ judging slips with voting categories, pens, collection box
๐ Food table โ drinks and cooler
โฝ Lawn games / free play area โ mini soccer net, frisbee, bocce ball, or equivalent. If weather forces the event indoors, designate a basement room for free play with a supervising parent present at all times.
๐ง Mechanic Station table โ tools and supplies for last-minute car repairs
๐ Registration & Weigh-In
Registration and weigh-in happen simultaneously as families arrive. This is one of the busiest and most important parts of the event โ getting it right sets everything else up for success.
How It Works
1๏ธโฃ Each Scout brings their car to the registration table.
2๏ธโฃ The Registration Official records the Scout's name on the registration sheet and weighs their car on the Pack scale (accurate to 0.1 oz). The kitchen scale is available as a backup if needed.
3๏ธโฃ If a car passes weigh-in (maximum 5.0 oz), it is assigned a car number. The number is written on a post-it note and placed in front of the car on the 1x3 plywood lineup strip. Car numbers are used throughout the event to keep voting anonymous โ Scouts vote by number, not by Scout name.
4๏ธโฃ If a car is underweight, the Scout is directed to the tune-up table to add washers or weights. If a car is overweight, a volunteer with a cordless drill can carefully remove material or weight.
5๏ธโฃ Once registered and numbered, cars stay on the lineup strip at the registration table. From this point forward, only the designated Liner-Upper volunteer handles the cars โ moving them to and from the track for each heat. This protects the numbering system and prevents mix-ups throughout the event.
The Mechanic Station Table
The tune-up table is available from doors-open through the end of registration for any car that needs attention. Common issues include:
๐ง Wheels stuck or coming off โ needle nose pliers, small hammer
โ๏ธ Car underweight โ add washers, weights, or duct tape
โ๏ธ Car overweight โ drill to remove material or remove attached weights
๐ฉ Attachments or decorations coming loose โ super glue, duct tape
๐ณ Design Award Voting
Voting opens as soon as all cars have been registered โ approximately 10โ15 minutes after the official event start time. This timing allows voting to happen naturally while the Bracket Master is setting up the qualifying heat whiteboard, so no time is wasted.

How Voting Works
Each Scout receives a judging slip โ a simple strip of paper with a grid listing all voting categories. Scouts write the car number (not the Scout's name) of their choice for each category. Every Scout must write their own name on their slip to ensure each Scout votes only once.
Cars are identified by number on the display table โ keeping the voting anonymous and making it a fair, fun process for everyone.
Voting slips are collected by the Voting Tabulator before the championship bracket begins. The Voting Tabulator tallies all results in time for the awards ceremony at the end of the event.
๐ก Optional upgrade: For a more precise result, Scouts can rank their top 3 choices for each category (1st, 2nd, 3rd) instead of just picking one. The Voting Tabulator then applies weighted scoring to determine the final 1st, 2nd, and 3rd place finishers per category. Note that this takes additional time to tabulate โ confirm with the Cubmaster before race day which method you'll use.
๐ Stage 1 โ Qualifying Heats
The Bracket Master runs the qualifying heats using a whiteboard system. Here's exactly how it works:
The Qualifying Format
1๏ธโฃ The Bracket Master writes all Scout names on the whiteboard in random order, taken directly from the registration sheet.
2๏ธโฃ The first heat features the cars belonging to Scouts 1, 2, and 3 on the list (Pack 972 uses a 3-lane track, so heats are groups of 3).
3๏ธโฃ After the heat, results are recorded on the whiteboard (1st, 2nd, 3rd) next to each Scout's name.
4๏ธโฃ For the next heat: remove Scout 1's car, add Scout 4's car, and shift all cars one lane to the right on the track. Race again and record results.
5๏ธโฃ Continue this rolling pattern โ removing the first car on the list, adding the next car, and rotating one lane right โ for each subsequent heat.
6๏ธโฃ Each car races exactly three qualifying heats, against four different competitors, and gets one race in each of the three lanes. This ensures a fair competition across all lane positions.
๐ Note: Because of the rolling format, the 1st and 2nd cars on the list will race again in the penultimate and final qualifying heats to complete their three races. The Bracket Master tracks this and ensures it happens correctly.
During Qualifying Heats โ Who Does What
๐ค Emcee/Starter: Announces which cars are up for each heat, gives the starting signal, and keeps energy high with the crowd.
๐ Bracket Master: Calls which cars are needed for each heat, records results on the whiteboard after every race.
๐ Liner-Upper: Retrieves the correct cars from the registration table by cross-referencing Scout names on the bracket with car numbers on the registration sheet. Returns each car to its exact numbered position on the lineup strip after every heat.
๐ Finish Line Official: Determines 1st, 2nd, and 3rd place for each heat and immediately communicates results to the Bracket Master. Troop 71 Scouts assist at the finish end โ they manage the protective towel and foam bumper that keeps cars from running off the end of the track, and carefully return cars to the Liner-Upper after each heat.
โ ๏ธ Track safety: A rope barrier is maintained on both sides of the track throughout all heats. Scouts and spectators must stay behind the rope at all times. No touching the track, no jumping over it.
Between Qualifying and Championship โ The Pizza Break
Once qualifying heats are complete, the Bracket Master needs approximately 15โ20 minutes to:
โ Add up each car's qualifying scores (e.g. 1st + 2nd + 1st = score of 4; lower is better)
๐ Seed the championship bracket based on scores
๐ Set up the head-to-head bracket on the whiteboard
This is the perfect time for pizza to arrive! Families take a break, grab food, and get ready for the championship round. The Emcee can use this time to announce design award voting results or general pack news.
๐ Stage 2 โ Championship Bracket
The championship bracket is a head-to-head single-elimination tournament built from the qualifying scores.
How the Bracket Is Built
๐ฅ The lowest qualifying scores (fastest cars) are seeded into the corners of the bracket โ the favorable positions that allow them to advance further before facing each other.
๐ If there is an odd number of cars, the lowest-scoring cars (fastest qualifiers) may receive a first-round bye, while the higher-scoring cars race in the opening round.
๐ Cars race head-to-head until two cars remain for the championship final. The winner of the final is crowned Pack 972 Pinewood Derby Champion!
๐ Awards Ceremony
Once the final championship heat is run, the Bracket Master and Voting Tabulator finalize all results and hand them to the Emcee. The awards ceremony follows immediately.

The Emcee calls each winner forward individually, gives them a moment in the spotlight, and leads the crowd in celebration. Every Scout who participated receives recognition โ finishing a car and racing it is itself an achievement worth celebrating.

All volunteers are expected to help with cleanup after the awards ceremony. Key cleanup tasks:
๐ Break down and store the track safely
๐ Clear and clean the registration table โ return the Pack scale and supplies to the Pinewood Derby bin
๐ Clean up the food table โ collect all pack-owned supplies, dispose of trash, wipe down surfaces
โฝ Collect all lawn game equipment
๐ Bag all trash and leave the venue cleaner than we found it
๐ Return all cars to their owners โ double-check that no car is left behind
The Pinewood Derby bin goes back to Room 12 at Peace Lutheran Church or to the Cubmaster's closet โ the Cubmaster will confirm on the day.
