Webelos Service: Award Ceremonies & Banquets

As part of scouting's emphasis on Service, the Webelos families will be responsible for organizing the Pack's three award ceremonies and banquets:

🍂 Fall Award Ceremony & Banquet
🏹 Arrow of Light Crossover Ceremony & Banquet
🎉 End of the Year Award Ceremony and Banquet

The Webelos scouts along side their parents will be in charge of setting up and cleaning up after each of the three ceremonies. In addition to event day responsibilities, each year the Webelos families will need at least one adult to serve as the Award Ceremonies & Banquets Event Coordinator. Below are the job description for the Coordinator role and a description of the Webelos scout and family responsibilities.

🏆 Award Ceremonies & Banquets Event Coordinator
The Award Ceremonies & Banquets Event Coordinator owns these ceremonies from start to finish. They work closely with the Cubmaster to set the event vision, recruit and brief the volunteer Webelos team, manage all logistics before and during the event, and ensure that each event is memorable.

Responsibilities

✅ Confirm all three dates and times with Cubmaster and Church
✅ Create a RSVP for each event
✅ Work with Pack Secretary to publicize the Fall and End of Year advancement deadlines to Pack Families and Den Leaders
✅ Work with Pack Secretary to publicize the three Ceremonies to Pack Families
✅ Secure microphone and amplifier for each event
✅ After Advancement deadline, place order (list provided by Cubmaster)
✅ Pick up awards and verify that order is accurate before leaving Scout Shop
✅ Print place cards on cardstock, cut and add Scout's full name in sharpie
✅ Organize awards by Scout and place in Snack size (6.5 x 3.25 in)zip lock bags
✅ Deliver bagged awards and advancement lists to each Den Leader
✅ Communicate event day expectations to Webelos families
✅ Assist with day of as needed activities

Webelos scouts and their families arrive early to set up for the event.

🕘 TBD | Set up
Webelos Den will lead the Flag Ceremony. Be dressed in your scout uniform and ready to shine.

🕘 6:50 PM | Dishes & Venue Clean Up
During the event Webelos families will start dish duty and clean up entire event space.

📅 March 4 — Arrow of Light Crossover Ceremony 📍 Peace Lutheran
